Passing Personio and Workday ATS in Germany

German mid-sized and enterprise firms use Personio or Workday to filter resumes. How these parsers read your files and how to avoid auto-rejection.

When applying for jobs in Germany, you rarely send an email directly to a recruiter. Small and mid-sized German companies (Mittelstand) typically process candidates through Personio, Softgarden, or Greenhouse, while large corporations like Siemens, BMW, and SAP rely on Workday.

These systems use automated parsing engines to strip text from your resume and populate candidate profiles. If the software fails to read your file, your application may be filtered out before human eyes ever see it.

Here is how Personio and Workday evaluate incoming resumes and how to ensure your profile parses accurately.

How Personio and Workday Parse Resumes

When you upload your PDF or Word document:

  1. Text Extraction: The software converts the file into raw plaintext. Two-column designs, nested tables, and text boxes often cause the parser to read horizontally across columns, mixing up job titles, dates, and companies.
  2. Entity Recognition: Algorithms scan for known markers: job titles, company legal forms (like GmbH or AG), date formats (MM/YYYY), degree titles, and skill keywords.
  3. Candidate Matching: In Workday and enterprise tools, the system scores the extracted skills against the job description. Recruiters sort applicant pools by keyword match percentages.

4 Common Parsing Traps in German Job Portals

1. Fancy Two-Column Templates from Canva or Figma

Design-heavy templates created in graphics tools frequently export text in non-sequential blocks or convert typography into outlines. In Personio’s preview screen, your work history may appear as an unreadable string of fragments. Stick to clean, single-column documents.

2. Putting Contact Info Inside Page Headers

Many candidates place their name, email, phone number, and location in the header or footer area of Word or LaTeX documents. Many enterprise parsers ignore headers and footers entirely to avoid repeating content on multi-page files, resulting in an applicant profile with missing contact information.

3. Missing German Keyword Variations

If an ad asks for “Erfahrung im Projektmanagement”, writing only “Agile delivery” in English may result in a lower score. While technical terms (such as React, Python, or Kubernetes) are universal, role titles and administrative qualifications should match the language and terms used in the job posting.

4. Vague Dates Without Months

Listing “2020 – 2022” instead of exact months confuses the experience calculator in Workday. The system may default to counting only whole years or report an incomplete timeline.

Quick Checklist Before You Submit

  • Check text selection: Open your exported PDF, press Ctrl+A (or Cmd+A), and copy the text into Notepad. If the text pastes cleanly in logical reading order, the ATS parser can read it.
  • Match standard section titles: Use familiar headers like Berufserfahrung (Work Experience), Ausbildung (Education), and Kenntnisse (Skills).
  • Keep file size under 5 MB: Some German portals enforce strict upload caps.
